Delaney, Interim Campus Provost and Executive Vice Chancellor; William Hyder, ITS Client Relationship Manager Re: Fall 2004 End-of-Term Grade and Evaluation Submission via AISWe are writing to provide you with an update on the continued rollout of the Academic Information System (AIS) as it relates to the methods you will use for submitting end-of-term grades and evaluations. Grade submission. As an instructor, you will be required to submit grades directly on-line using AIS. On-line grade submission replaces the paper forms entirely, and it gives you more flexibility and control. Fall 2004 grading will be available through the AIS portal (http://my.ucsc.edu) to instructors of record in early December, in advance of the Tuesday, December 14, 2004 deadline to submit grades. Evaluations. Downloadable headers for evaluations are now available from the AIS portal (http://my.ucsc.edu). You will not receive e-mailed lists of headers. Evaluations may be submitted via e-mail to script@ucsc.edu. For detailed information on submitting evaluations, please see: http://reg.ucsc.edu/NES/NES_instructions.html. The deadline to submit evaluations for fall quarter courses is Monday, January 10, 2005. AIS access and support. Submitting grades and accessing header lists for evaluations requires that you use AIS. Department and Office of the Registrar staff are not provided system access for submitting grades and they will not be able to enter grades for you. If you are teaching this quarter and have not received your AIS UserID and initial password, please contact the Information Resource Center as soon as possible. They are located in the Communications Building and may be reached via help@ucsc.edu. Other contact options are online at http://www2.ucsc.edu/cats/sc/irc.shtml. Assistance with using AIS, including the grading process, will be available to instructors via a Faculty Town Hall on Wednesday, December 1st, 10 a.m. - noon in the Alumni Room at University Center. On-line tutorials and drop-in lab sessions will also be available. Details on location, scheduling and accessing this assistance will be sent to you under separate cover. Fall 2004 timeline. The undergraduate academic standing review process, as specified by Academic Senate regulation, is reliant on the timely submission of final grades each quarter. In order to meet our responsibilities to notify our students of their final grades and academic standing, and to maintain the academic integrity of our grading system, we will ask that the deans and department chairs work directly with their faculty to ensure compliance with the grade reporting deadline. To that end, deans will be provided a report of outstanding grades on Wednesday, December 15th. Thank you for your continued support as we move to full implementation of the AIS system.
